Calculate the Complete Service Window
For each appointment, include:
previous pack-down + travel + parking/access + setup + coaching + records + departure
Some tasks overlap or happen later, but they still consume capacity. Measure the actual window across several weeks instead of relying on an ideal route.
Build Geographic Clusters
Choose a compact service area and group appointments by location and day where possible. A trainer might serve one suburb group on particular mornings and another area on different afternoons.
Clusters reduce dead travel and make referrals more valuable because a new client near existing work fits the timetable better than an identical client across the city.
Do not publish an area so wide that ordinary traffic makes the promise unreliable.
Protect Transition Time
Back-to-back booking software may ignore movement between locations. Add a realistic buffer based on access, traffic and setup, not the fastest trip previously achieved.
A late arrival affects the client after the delay, so the timetable should absorb normal variation without requiring unsafe driving or shortened coaching.
Decide How Travel Affects Price
Possible approaches include:
- one price within a defined service area;
- location zones;
- a minimum booking or group size for distant work;
- travel charged separately and disclosed clearly; or
- declining locations that do not fit the model.
No structure is universally best. The price should reflect the complete service and remain understandable before the client commits.
Treat Cancellations as Geographic Events
One cancellation can create an unusable gap between two distant sessions. A fair cancellation policy matters, but the timetable should not depend on collecting fees for work the coach hoped to deliver.
Consider whether nearby administration, programme review, consultations or another session can use the gap. A route with no alternative becomes more fragile.
Include Setup Differences
Apartment access, visitor parking, lifts, workplace security and carrying equipment can make two equally distant clients consume different time. Record the actual access requirements with the location.
Set a Daily Travel Ceiling
Driving and moving equipment create fatigue that affects later coaching. Decide how much travel and how many transitions a normal day can support before quality falls.
Theoretical session capacity is not useful if the coach ends the day unable to prepare, record or communicate properly.
Compare Mobile With Facility-Based Capacity
A facility can support denser sessions but creates rent, access rules or employment constraints. Mobile work can reduce fixed premises exposure but increases time per location.
Compare:
- total calendar time;
- fixed and variable costs;
- suitable client demand;
- cancellations and gaps;
- equipment and environment; and
- the coaching quality the schedule permits.
A Weekly Route Test
Map a proposed week using real addresses and likely travel times. Then reduce delivered sessions and add ordinary delays. Ask:
- Which areas create most dead time?
- Which appointments cannot move without breaking the route?
- How many paid hours remain after the complete service windows?
- Can the coach maintain records and preparation?
- Does one cancellation make the day unworkable?
- Would a facility, online or hybrid option serve some clients better?
